Channel Manager & PMS for 1–5 Properties: How to Choose
Most PMS marketing is aimed at companies with 50 units. At 1–5 properties your needs are smaller and simpler — and the wrong tool quietly eats the margin your calculators have been protecting. Here is what actually matters at your size, and what the main options cost.
What you actually need
1. Real channel sync. Airbnb, Vrbo and Booking.com calendars, prices and messages in one place, via API connections (not iCal, which can lag and double-book).
2. A unified inbox with basic automation. Scheduled messages for booking, check-in and check-out cover most of the repetitive work.
3. A direct-booking website — if direct bookings are your plan. This is the feature that separates the tools below. It is also where the fee savings in our break-even guide come from.
What you can skip at this size: owner statements, trust accounting, 60+ channel distribution and revenue-management suites. Nice at 20 units; dead weight at 2.
The shortlist, price-checked October 2026
| Tool | Best for | Starts at | Booking website | Free trial / plan |
|---|---|---|---|---|
| Lodgify | Direct-booking-first hosts | $14/mo (Basic, annual billing); website from Starter $26/mo | Yes — builder + booking engine | 7-day trial |
| Hospitable | Messaging automation | $29/mo (Host, 1 property) | Basic site features | Free Essentials tier |
| OwnerRez | Control & accounting depth | ~$40/mo (1 property) | Yes — hosted sites & widgets | 14-day trial |
| Guesty Lite | 1–3 listings, room to grow into Guesty | $9/listing/mo + 1% per reservation (or flat options) | Via Guesty's website tools | Trial available |
| Hostaway | Portfolios heading past 10 units | Quote only (no public price) | Yes | Demo only |
Prices are entry points for the smallest portfolio, checked against published pricing and roundups in October 2026. Every vendor prices differently (per property, per listing, annual vs monthly, booking fees on some plans) — always re-check with your own property count before deciding.
Honest verdicts
Lodgify is built around the direct-booking website, and the website builder is its strongest piece. If your plan is "keep the OTA fee by taking repeat guests direct", this is the default pick for small hosts — pricing is public and there is no commission on direct bookings through your site. Watch-outs: the 7-day trial is short, so import your listings on day one; features like task management sit on the top (Ultimate) tier. Full disclosure: we like it enough that we have applied to Lodgify's affiliate program — if that is approved, links here may earn us a commission at no cost to you.
Hospitable is the messaging-automation specialist, with a genuinely free entry tier. If your pain is guest messages rather than direct bookings, start here. Its website tooling is thinner than Lodgify's.
OwnerRez is the power user's tool: deep settings, renter agreements, accounting detail, and support users consistently rate highly. The trade-off is a real learning curve and a higher starting price for a single property.
Guesty Lite has the cheapest headline price for 1–3 listings, but mind the ceiling: past 3 listings you move to Guesty Pro, which is quote-based with onboarding fees. Fine if you plan to stay small or deliberately grow into it.
Hostaway is capable and popular with larger managers, but with quote-only pricing and paid onboarding it is usually over-specified — and over-priced — at 1–5 properties. Revisit it if you pass 10 units.
What should it cost you? Run the break-even
A $26–$40/mo tool sounds small until you stack it against fees. Use the same math as our direct-booking break-even: tool cost per month ÷ host fee kept per direct booking = direct bookings needed to pay for the tool. On an $810 booking with a 15% host-side fee, one direct booking keeps $121.50 — a $33/mo tool pays for itself with a single direct booking every few months. Add the tool to your operating costs and check it against your break-even nightly rate.
